Tradeop Solutions Limited (“Tradeop”, “we”, “us”, “our”) provides an AI-powered call answering service for trade businesses (“Client Businesses”). This policy explains how we collect, use, and protect personal data when someone calls a Client Business that uses our service, and when you visit this website.

We are registered with the UK Information Commissioner’s Office (ICO), registration number CSN9176355.

1. Who we are, and what role we play

When you call a business that uses Tradeop, your call may be answered by our AI voice assistant rather than a person. During that call, we collect certain personal details on behalf of the Client Business so they can follow up with you.

Tradeop is a data controller for the personal data we collect during these calls — we decide what information is collected, how it is processed, and how long it is kept. The Client Business is also a data controller in its own right — once we pass your details along, they decide what to do with the enquiry (for example, calling you back to arrange a quote).

Because both Tradeop and the Client Business make independent decisions about your data, we operate as joint controllers for the purposes of UK GDPR.

2. What personal data we collect

When you call a business using Tradeop’s AI receptionist, we may collect:

Your name
Your phone number (including caller ID, where available)
Your email address, if provided
Your property or contact address
A description of the work or enquiry you’re calling about
Whether your request is urgent or flexible
A recording and transcript of the call
Metadata about the call, such as duration, time, and outcome

If you visit our website, we may also collect standard technical data such as your IP address and browser type, for security and site functionality purposes.

We do not knowingly collect any special category data (such as health information) unless you volunteer it as part of describing your enquiry, and we do not seek this information out.

3. Why we collect it, and our legal basis

We collect and process this data to:

Answer your call and understand what you need
Pass your enquiry and contact details to the Client Business you called, so they can follow up
Confirm details back to you during the call (for example, reading back your postcode or phone number) to reduce errors
Improve the accuracy and reliability of our service
Meet our legal and regulatory obligations

Our legal basis for this processing is legitimate interests — both ours and the Client Business’s, in operating an effective call-answering service and following up on your enquiry. Where required, we may also rely on your consent, for example if a call is recorded and this is disclosed to you at the start of the call.

4. Who we share your data with

The Client Business you called. This is the core purpose of the service — we pass your details to them so they can respond to your enquiry.

Our service providers (processors). We use third-party providers to operate the service. They process data only on our instructions and are contractually required to protect it. These currently include:

Retell AI — provides the AI voice platform that answers calls, processes conversations, and generates transcripts and summaries. Retell’s infrastructure is based in the United States, meaning your data is transferred outside the UK. Where this occurs, we rely on UK Addendum to the EU Standard Contractual Clauses as the legal safeguard for this transfer.

Twilio — provides the telephone number and call routing infrastructure.
Make (Integromat) — used to route call summaries from Retell to the Client Business.

We do not sell your personal data, and we do not share it with any third party for their own marketing purposes.

5. How long we keep your data

We retain call recordings, transcripts, and the personal data collected during a call for 3 months, after which it is deleted or anonymised, unless we are required to keep it longer for legal, accounting, or dispute-resolution purposes.

The Client Business may retain the details you provided for longer, in line with their own record-keeping obligations — please contact them directly for information about their own retention practices.

6. Your rights

Under UK GDPR, you have the right to:

Access the personal data we hold about you
Correct inaccurate data
Delete your data, in certain circumstances
Restrict or object to our processing of your data
Complain to the Information Commissioner’s Office (ICO) if you believe we have not handled your data properly

To exercise any of these rights, contact us at admin@tradeop.co. Because a Client Business is a joint controller for data collected during your call, you may also need to contact them directly for matters specific to how they use your enquiry.

7. Call recording

Calls answered by Tradeop’s AI receptionist may be recorded for quality, accuracy, and training purposes. If your call is recorded, this will be disclosed to you at the start of the call.

8. Changes to this policy

We may update this policy from time to time to reflect changes in our service or legal requirements. The date at the top of this page shows when it was last updated.
